Cancellation and Refund Policy
Cancellation can only be made in writing to the Organising Secretariat.

Since there will partial payments for congress duties by May 1, 2009 it will produce extra expenses for organisation and this obligate us to reduce the refund amount.
If for reasons beyond the control of the Organisers the Meeting is cancelled, the registration fees will be refunded following deduction of unavoidable expenses.
No refund will be given in case of no-show, late arrival, unused services, unattended events or early termination of attendance.
All refunds will be processed after the Meeting.
Your registration is transferable to a colleague.

Registration is only valid upon the receipt of payment. The total cost of registration fees must be sent in Euro. The payment can be made via:

The name of the participant must be clearly indicated on the bank payment. Please note that Yapı Kredi Bank  will not accept bank charges; bank charges are at the sender’s expense.

All unpaid bank charges will be charged upon the arrival.

A registration certificate will be forwarded to the participant after the Organising Secretariat has accepted the registration form and confirmed receipt of the registration fee. On the day of the Meeting this certificate should be presented at the Registration Desk.
No advance or pro-forma invoice will be made.


Payment

If you choose the pay by credit card, please send us the credit card information by filling the part of the credit card and fax it to the Organising Secretariat. The fax number is found on the form.
Please mark on the part of the bank payment that you choose bank transfer to guarantee your hotel booking. Please fax or send a detailed account form by e-mail to the Organising Secretariat. The fax number and e-mail address are found on the form.


Important: All payments must be made in Euro. When you choose your hotel preferences, the total amount will display in the box automatically. Please observe that the organisers can not accept any reductions for bank charges associated with the transfer.
All transfers must be marked with "ICO 2009" and the full name of the delegate.

Currency and Money Exchange
The unit of currency is the New Turkish Lira (YTL). The exchange rates are published daily. Banks can exchange foreign currency and travelers' checks with your passport as proof of identity. The most widely accepted credit cards are Visa, Mastercard, American Express and EuroCard.
Exchange offices in touristic places are generally open until midnight. The organisers recommend a visit to the website 'Central Bank' at www.tcmb.gov.tr (English version Data/Exchange Rates) for information on the exchange for your own country.

Confirmation
Confirmation of registration and hotel reservation will be send to all registered participants.
All fees are stated including VAT(value added tax). VAT will be added to all participants fees, according to ordinary Turkish legislation and routines.
